Job Summary:
The Real Estate Administrator provides essential administrative and operational support to real estate agents, brokers, or property management teams. This role ensures smooth office operations, manages client and property records, coordinates transactions, and assists with compliance and documentation.
Key Responsibilities:
- Administrative Support:
- Manage office correspondence, including phone calls, emails, and mail.
- Schedule appointments, meetings, and property viewings.
- Prepare and organize real estate documents (leases, contracts, agreements).
- Maintain filing systems (digital and physical) for property records and client data.
- Transaction Coordination:
- Assist with closing processes, ensuring all paperwork is completed accurately.
- Liaise with clients, agents, lenders, and attorneys to facilitate smooth transactions.
- Track deadlines for contracts, inspections, and financing.
- Client & Tenant Relations:
- Serve as a point of contact for tenants, buyers, sellers, and vendors.
- Handle inquiries regarding leases, payments, and maintenance requests.
- Assist with tenant onboarding and move-in/move-out processes.
- Property Management Assistance:
- Help maintain property databases and listings (MLS, CRM software).
- Coordinate maintenance requests and vendor communications.
- Assist with rent collection and financial record-keeping.
- Compliance & Reporting:
- Ensure compliance with real estate laws and company policies.
- Prepare reports on property status, occupancy, and financials.
- Assist with audits and documentation for regulatory requirements.
- Marketing & Listings Support:
- Update property listings on websites and marketing platforms.
- Assist in preparing promotional materials (brochures, flyers, social media posts).
