Position Summary
We are now recruiting for a PA to provide comprehensive and highly confidential secretarial business support to the MD of our Coffee business, ensuring effective diary and administrative management.

A day in the life of a PA
Providing day to day support to the BEO [and sometimes the CLT?], you will be highly organised, have good attention to detail, ability to problem solve and to make decisions with confidence in relation to the business priorities and the BEO’s individual requirements.
Duties will include:
- Pre-emptive diary and email management in co-ordination with other SLT / Zone / Global contacts as required
- Providing a level of support to the wider Coffee Leadership team e.g. co-ordination of logistics and agendas for CLT meetings, category meetings, visits.
- Arrange all travel local and international and accommodation requirements and produce relevant itineraries and required information, maximising the effectiveness of travel time.
- Timely collation, categorising and submission of expenses on behalf of the leader
- Management of Globe processes as required e.g. sickness, approvals, position management
- Proactively sourcing information for presentations, reports and letters, calling on relevant stakeholders and experience to produce these with limited supervision/guidance
- Attend meetings as appropriate, including minute taking and co-ordination of inputs / outputs as required
- Pre-empt the information required for meetings, preparing and providing this in advance
- End to end organisation of conferences, events and visits as required to include sourcing venues, negotiating contracts and costs, sourcing AV/equipment and ensuring all logistics have been considered
What will make you successful?
The successful candidate will be a seasoned PA who is self-motivated, enjoys a challenge and is willing to take ownership and accountability. You will be a logical thinker, highly organised, trustworthy, driven, and comfortable with multi-tasking and dealing with ambiguity.
We are looking for an individual with:
- Proven PA / Secretarial experience
- IT skills and knowledge throughout MS Office Suite and particularly Word and PowerPoint
- Excellent organisation and planning skills with strong attention to detail
- Ability to demonstrate a high degree of confidentiality and discretion with a strong sense of integrity
- A customer-centric, proactive approach with resilience and flexibility
- Excellent interpersonal and communication skills with the ability to communicate and build relationships at all levels
- Strong upward management skills
