Job Summary:

The CEO Assistant provides high-level administrative and strategic support to the CEO, ensuring smooth operations and effective time management. This role requires exceptional organizational skills, discretion, and the ability to handle confidential information. The CEO Assistant acts as a liaison between the CEO, executives, employees, and external stakeholders, facilitating communication and ensuring priorities are met efficiently.

Key Responsibilities:

1. Administrative Support:

Manage the CEO’s calendar, schedule meetings, and coordinate travel arrangements.
Prepare and organize documents, presentations, and reports for executive meetings.
Handle correspondence (emails, calls, letters) on behalf of the CEO.
Maintain confidential files and records with discretion.

2. Strategic & Operational Support:

Act as a gatekeeper, prioritizing tasks and ensuring the CEO’s time is optimized.
Attend key meetings, take minutes, and follow up on action items.
Conduct research, compile data, and prepare briefs for decision-making.
Assist in project management, tracking progress on key initiatives.

3. Communication & Liaison:

Serve as the primary point of contact between the CEO and internal/external stakeholders.
Draft and review communications, speeches, and announcements.
Facilitate smooth information flow between departments.

4. Event & Special Projects Coordination:

Plan and coordinate executive events, board meetings, and corporate functions.
Support the CEO in special projects, including investor relations, fundraising, or M&A activities.

Qualifications & Skills:

Education: Bachelor’s degree in Business Administration, Management, or related field (preferred).
Experience: 3+ years as an Executive Assistant, preferably supporting C-level executives.
Skills:
Exceptional organizational and time-management abilities.
Strong written and verbal communication.
Proficiency in MS Office, Google Workspace, and project management tools.
High emotional intelligence and ability to handle pressure.
Discretion in handling sensitive information.
Attributes: Proactive, detail-oriented, adaptable, and able to anticipate needs.
