Job Summary:

The HR & Document Control Officer is responsible for managing HR administrative tasks and ensuring efficient document control within the organization. This role involves maintaining employee records, managing HR documentation, and ensuring compliance with company policies and legal requirements. The officer will also oversee document filing, retrieval, and distribution while maintaining confidentiality and accuracy.

Key Responsibilities:

Human Resources Duties:

Employee Records Management:

Maintain and update employee records (personal details, contracts, performance reviews, etc.).
Ensure all HR documents are properly filed (digitally and physically).
Handle confidential employee data with discretion.

Recruitment & Onboarding Support:

Assist in posting job ads, screening resumes, and scheduling interviews.
Prepare employment contracts and onboarding documents.
Coordinate new hire orientation and documentation.

Leave & Attendance Tracking:

Monitor employee attendance, leaves, and absences.
Maintain leave records and ensure compliance with company policies.

Compliance & Policies:

Ensure HR practices comply with labor laws and company policies.
Assist in policy updates and employee handbook revisions.

HR Reporting:

Prepare HR reports (attendance, turnover, recruitment metrics).
Support payroll processing by providing accurate employee data.

Document Control Duties:

Document Management:

Organize, file, and retrieve company documents (HR, legal, operational).
Ensure proper version control and document naming conventions.
Maintain both electronic and hard-copy filing systems.

Document Distribution & Security:

Control access to sensitive documents.
Ensure authorized personnel receive updated documents.
Track document approvals and revisions.

Compliance & Audits:

Ensure documents meet regulatory and company standards.
