Executive Assistant to General Manager – Facilities Management

Preferably Filipino Male and with Driving License

Role Overview:

The Personal Assistant (PA) to the General Manager provides high-level administrative, organizational, and operational support to ensure the GM can focus on strategic and leadership priorities. In a facilities management company, the PA also assists with coordination between departments such as maintenance, operations, procurement, and client services.

Key Responsibilities:

Administrative & Executive Support

• Manage the GM’s calendar, appointments, and travel arrangements.

• Prepare meeting agendas, minutes, reports, and presentation materials.

• Handle correspondence, emails, and phone calls on behalf of the GM.

• Maintain confidentiality of sensitive information and company documents.

Operational Support

• Coordinate with department heads (maintenance, operations, HR, finance, etc.) to track progress on projects and key performance indicators (KPIs).

• Assist with contract and vendor management documentation.

• Follow up on action items and ensure timely completion of deliverables.

Communication & Coordination

• Act as the liaison between the GM and internal/external stakeholders.

• Draft letters, memos, and communications for management approval.

• Support client communication or project updates when needed.

Project & Reporting Assistance

• Help in preparing monthly performance reports and dashboards.

• Support in project scheduling, documentation, and record-keeping.

• Participate in internal audits and compliance reviews.

• Strong organizational and multitasking skills.

• Excellent communication (verbal and written).

• Discretion and professionalism in handling confidential matters.

• Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).

• Time management and prioritization.

• Knowledge of facilities management processes (an advantage).

Qualifications:

• Bachelor’s degree in Business Administration, Management, or a related field.

• 3–5 years of experience as a PA, Executive Assistant, or similar role (preferably in FM, construction, or property management).

• Knowledge of administrative and office management systems.
