The Procurement Assistant will support the procurement department in sourcing, purchasing, and coordinating materials required for interior fit-out projects. The role involves supplier coordination, cost control, inventory tracking, and ensuring timely delivery of materials to meet project deadlines. The ideal candidate must have prior UAE experience in the interior fit-out industry and a strong understanding of local suppliers, materials, and procurement processes.

Key Responsibilities

1️⃣ Sourcing & Procurement

Source materials, finishes, fixtures, and furniture required for interior fit-out projects
Obtain quotations from multiple suppliers and compare pricing, quality, and delivery timelines
Negotiate pricing and payment terms to achieve cost efficiency
Prepare purchase orders in line with project requirements
Ensure timely procurement to avoid project delays

2️⃣ Supplier & Vendor Management

Build and maintain strong relationships with approved suppliers
Coordinate with vendors regarding order status, delivery schedules, and documentation
Assist in vendor evaluation and onboarding processes
Monitor supplier performance based on quality, pricing, and delivery reliability
Maintain an updated supplier database

3️⃣ Order Tracking & Inventory Control

Track purchase orders from issuance to delivery
Monitor stock levels and maintain accurate inventory records
Coordinate with warehouse/store teams for material receipt and verification
Ensure proper documentation of goods received notes (GRNs) and invoices
Identify and report shortages or discrepancies

4️⃣ Project Coordination

Liaise with project managers, designers, and site teams to understand material specifications
Ensure materials meet design and technical requirements
Align procurement timelines with project schedules
Provide regular updates to project teams on delivery status

5️⃣ Reporting & Compliance

Prepare procurement reports, cost comparisons, and analysis for management review
Assist in budget tracking and cost control initiatives
Ensure compliance with company procurement policies
Adhere to UAE regulations related to purchasing and commercial transactions
Maintain proper documentation for audits and internal controls

Qualifications & Requirements

1–2 years of UAE experience in procurement (Interior Fit-Out industry mandatory)
Bachelor’s degree in Business Administration, Supply Chain, or related field preferred
Knowledge of interior materials, finishes, and furniture sourcing in UAE market
Familiarity with local suppliers and logistics processes
Strong negotiation and communication skills
Proficiency in MS Office (Excel required)
Ability to work under pressure and meet tight deadlines
