Job Summary
An Administrator is responsible for managing day-to-day office operations, supporting HR and management activities, maintaining records, coordinating logistics, and ensuring smooth administrative functioning of the organization. The role ensures efficiency in office administration, communication, and support services.
Key Responsibilities
Office Administration
- Manage daily administrative operations and office activities.
- Ensure proper maintenance of office facilities, equipment, and supplies.
- Handle correspondence, emails, and internal communication.
- Maintain office discipline and operational efficiency.
Documentation & Record Management
- Maintain employee records, files, and administrative documents.
- Prepare and organize reports, letters, and official documents.
- Ensure proper filing system (physical and digital).
- Handle confidential information with discretion.
Coordination & Communication
- Coordinate between departments for administrative requirements.
- Assist management in scheduling meetings and appointments.
- Communicate with vendors, clients, and service providers.
- Support internal communication and announcements.
Office Supplies & Procurement Support
- Monitor and manage office supplies inventory.
- Raise purchase requests for office needs and consumables.
- Coordinate with suppliers for delivery and service support.
- Ensure cost-effective procurement of office materials.
Attendance & HR Support
- Assist in maintaining employee attendance and leave records.
- Support HR team in onboarding and documentation processes.
- Maintain employee database and records.
- Assist in payroll input preparation when required.
Logistics & Facility Management
- Manage office maintenance, cleaning, and utilities.
- Coordinate transportation, accommodation, and travel arrangements.
- Ensure proper functioning of office infrastructure.
- Liaise with maintenance vendors and service providers.
Reporting & Compliance
- Prepare daily, weekly, or monthly administrative reports.
- Ensure compliance with company policies and procedures.
- Support audits and administrative inspections.
- Maintain confidentiality and data security.
Required Qualifications
- Bachelor’s Degree or Diploma in Business Administration, HR, or related field.
- 2–7+ years of experience in office administration or similar roles.
- Experience in construction, EPC, corporate, or industrial environments preferred.
- Basic knowledge of HR and accounting processes is an advantage.
