Receptionist
Job Title: Receptionist / Front Desk Administrator
Reports To: Office Manager / School Principal
Salary: AED 3,000 per month
Job Purpose:
To serve as the first point of contact for the organization, providing a warm and professional welcome to all visitors, parents, and staff. The Receptionist is responsible for managing the front desk, handling all incoming communications, and performing key administrative tasks to ensure the smooth operation of the office.
Key Responsibilities:
- Front Desk Management: Greet all visitors, parents, and students in a courteous and professional manner, directing them appropriately and notifying staff of their arrival.
- Telephone and Communication: Operate a multi-line telephone system, answer, screen, and forward calls, and provide basic information as required. Take and relay messages accurately.
- Administrative Support: Perform a variety of clerical tasks, including photocopying, scanning, filing, and data entry. Manage the distribution of incoming and outgoing mail and courier packages.
- Scheduling and Appointments: Schedule and confirm appointments for parents with teachers or administration staff.
- Parent Liaison: Handle general parent inquiries regarding fees, schedules, and events, providing excellent customer service at all times.
- Record Maintenance: Assist in maintaining student records, emergency contact lists, and staff directories, ensuring they are up-to-date and confidential.
- Office Supplies: Monitor and maintain office supply inventory, placing orders when necessary.
Qualifications and Requirements:
- High School Diploma; additional certification in Office Administration is a plus.
- Proven experience as a Receptionist, Front Office Representative, or similar role.
- Pleasant and professional appearance with excellent verbal communication skills.
- Proficiency in MS Office (Word, Excel, Outlook).
- Strong organizational and multi-tasking abilities.
- Customer-service oriented with a positive and patient demeanor.
- Fluency in English is essential; knowledge of Arabic is an advantage.
