Job Title: Project Administrator
Location: Kingdom of Saudi Arabia
Project Type: Water & Wastewater Infrastructure
Job Purpose:
To provide comprehensive administrative and secretarial support to the project management and site teams. The Administrator ensures the smooth day-to-day running of the site office, manages logistics, and supports HR and finance functions to allow the technical team to focus on project delivery.
Key Responsibilities:
- Office Management: Manage the site office, including reception, meeting room coordination, filing systems, and office supplies/stationery inventory.
- Administrative Support: Prepare and format reports, presentations, and correspondence. Manage diaries, schedule meetings, and arrange travel and accommodation for project staff.
- Document Support: Assist the Document Controller with basic filing and archiving tasks as needed. Photocopying, scanning, and binding of documents.
- HR Support: Assist with site staff mobilization and demobilization. Track staff leave, attendance (timesheets), and assist with the onboarding process for new site personnel.
- Financial Support: Assist with processing of invoices, expense reports, and purchase orders, ensuring proper coding and authorization. Maintain logs for project-related expenditures.
- Meeting Coordination: Prepare meeting agendas, distribute papers, take minutes of meetings, and follow up on action points.
Qualifications & Experience:
- Bachelor’s degree in Business Administration or a related field is preferred. A Diploma with relevant experience is acceptable.
- Minimum of 3–6 years of experience in an administrative role, ideally within a construction, engineering, or project-based environment.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Experience with procurement or HR processes is a plus.

- Strong written and verbal communication skills in English (Arabic is a strong advantage).

- Proactive, reliable, and able to work with minimal supervision.
- Valid driver’s license is preferred.
