Job Title: Reception & Occupational Safety Officer
Job Summary
The Reception & Occupational Safety Officer is responsible for managing front desk operations while supporting workplace health and safety initiatives. This role ensures a professional reception service for visitors and staff, maintains administrative records, and assists in implementing occupational health and safety (OHS) policies to promote a safe working environment.
Key Responsibilities
Reception Duties
- Greet and assist visitors, clients, and employees in a professional manner.
- Answer, screen, and direct incoming phone calls and emails.
- Manage visitor registration and maintain visitor logs.
- Schedule appointments and meeting rooms.
- Handle incoming and outgoing mail, courier services, and general correspondence.
- Maintain reception area cleanliness and organization.
- Provide administrative support, including filing, data entry, and document management.
Occupational Safety Duties
- Assist in implementing and monitoring occupational health and safety policies and procedures.
- Conduct routine workplace safety inspections and identify potential hazards.
- Report safety concerns, incidents, and near misses, and maintain accurate records.
- Coordinate emergency preparedness activities, including fire drills and evacuation procedures.
- Ensure first aid kits, fire extinguishers, and safety equipment are properly maintained and accessible.
- Support employee safety training and orientation programs.
- Promote compliance with workplace safety regulations and company standards.
- Assist in investigating workplace incidents and recommending corrective actions.
Qualifications
- Diploma or bachelor's degree in Business Administration, Occupational Health & Safety, or a related field.
- Previous experience in reception, administration, or occupational safety is preferred.
- Knowledge of workplace health and safety regulations.
- Proficiency in Microsoft Office and office management systems.
- First Aid and Fire Safety certification is an advantage.
