Project Coordinator — Job Description
Job Summary
The Project Coordinator supports the Project Manager and project team in planning, coordinating, tracking, and documenting project activities. The role ensures effective communication between internal teams, clients, vendors, and other stakeholders while helping projects remain on schedule, within budget, and aligned with project requirements.
Key Responsibilities
- Assist the Project Manager in planning and coordinating project activities.
- Prepare and maintain project schedules, timelines, trackers, and action plans.
- Coordinate meetings, prepare agendas, record minutes, and follow up on action items.
- Communicate project updates, requirements, and deadlines to relevant team members.
- Track project milestones, deliverables, dependencies, and outstanding tasks.
- Maintain accurate project documentation, reports, drawings, approvals, and records.
- Coordinate with internal departments, contractors, suppliers, and external stakeholders.
- Monitor procurement, material requirements, deliveries, and related project activities.
- Assist in preparing project progress reports and management updates.
- Track project costs, invoices, purchase orders, and supporting documentation where required.
- Identify delays, issues, and potential risks and escalate them to the Project Manager.
- Follow up with team members and vendors to ensure timely completion of assigned activities.
- Support quality, safety, and compliance requirements throughout project execution.
- Assist with change requests, approvals, and project documentation.
- Maintain organized project files and ensure documents are updated and accessible.
- Support project closure activities, including final documentation and lessons learned.
- Perform other administrative and coordination tasks as assigned by the Project Manager.
Requirements
- Bachelor’s degree or diploma in Project Management, Business Administration, Engineering, Operations, or a related field.
- 2–4 years of experience in project coordination, administration, operations, or a similar role.
- Good knowledge of project coordination and documentation processes.
- Proficiency in MS Office, particularly Excel, Word, and PowerPoint.
- Experience with project management tools such as MS Project, Primavera, Asana, Trello, or similar platforms is an advantage.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Ability to coordinate multiple tasks and meet deadlines.
- Strong attention to detail and follow-up skills.
- Ability to work effectively with cross-functional teams.
- Good problem-solving and interpersonal skills.
