Personal Assistant - Executive Secretary
Job Description:
The Personal Assistant/Executive Secretary will provide high-level administrative support to senior executives (e.g., Clinic Director, Head of Department) in a healthcare setting. This role requires exceptional organizational skills, discretion, and the ability to manage a wide range of tasks in a fast-paced clinical environment.
Key Responsibilities:
- Manage complex calendars, schedule appointments, and coordinate meetings.
- Arrange travel, accommodation, and itineraries for executives.
- Prepare and edit correspondence, communications, presentations, and reports.
- Handle confidential information with the utmost discretion.
- Act as a liaison between the executive, staff, patients, and external partners.
- Organize and maintain filing systems, both electronic and physical.
- Attend meetings, take minutes, and follow up on action items.
- Manage office supplies and ensure the executive's office runs smoothly.
- Assist with basic HR or administrative tasks related to clinical staff coordination.
Requirements:
- Bachelor’s degree in Business Administration or a related field.
- Proven experience as an Executive Secretary, PA, or similar role, preferably within a healthcare organization.
- Excellent command of written and spoken English.
- Advanced proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Outstanding organizational and time-management skills.
- Professional phone and email etiquette.
- Ability to multitask and prioritize effectively under pressure.
