Document Controller
Reports To: Project Manager / Project Controls Manager
Summary: The Document Controller manages the flow, storage, and retrieval of all project documentation, ensuring version control, accuracy, and accessibility for the project team. They are crucial for audit trails and information management.
Key Responsibilities:
- Establish and maintain the project document control system (electronic and hard copy as required).
- Receive, log, distribute, and track all incoming and outgoing project documents (drawings, transmittals, submittals, RFIs, letters).
- Ensure all documents are properly numbered, filed, and archived according to project procedures.
- Control document revisions, prevent use of obsolete documents, and distribute latest revisions to relevant parties.
- Manage the submission and approval process for material submittals, method statements, and shop drawings.
- Prepare and issue document status reports to the project management team.
- Assist in the preparation of final project dossiers, operation & maintenance manuals for handover.
- Ensure confidentiality and security of sensitive documents.
Qualifications & Skills:
- Diploma or degree in Business Administration, Library Science, or relevant field.
- Proven experience as a Document Controller in construction/engineering.
- Proficiency in document management systems (Aconex, Asite, Documentum, Procore) and MS Office.
- Meticulous attention to detail, strong organizational skills, and the ability to work under pressure.
- Excellent communication skills for interfacing with all project stakeholders.
