Job Title: Receptionist – Aesthetic Clinic
Job Summary
Acts as the first point of contact for clients, ensuring a welcoming and professional experience. Manages appointments, client records, and front desk operations in a fast-paced aesthetic or cosmetic clinic.
Key Responsibilities
Front Desk & Client Service
- Greet clients warmly and create a positive first impression
- Answer phone calls, WhatsApp messages, and emails promptly
- Schedule, confirm, and reschedule appointments
- Handle client inquiries about services, pricing, and availability
- Maintain client confidentiality and professionalism at all times
Appointment & Clinic Coordination
- Manage booking systems using tools like Google Calendar or clinic management software
- Coordinate with doctors, therapists, and staff for smooth scheduling
- Ensure minimal waiting time and efficient patient flow
Administrative Duties
- Maintain and update client records and treatment history
- Handle billing, invoicing, and basic cash/card transactions
- Track and manage daily appointments and reports
- Maintain cleanliness and organization of the reception area
Sales & Customer Engagement
- Promote clinic services, packages, and offers
- Upsell treatments or skincare products when appropriate
- Follow up with clients for feedback and repeat appointments
Requirements
- Previous experience as a receptionist, preferably in a clinic, salon, or spa
- Good communication and interpersonal skills
- Presentable, polite, and customer-focused
- Basic computer skills (MS Office, booking systems)
- Ability to multitask in a fast-paced environment
Preferred Qualifications
- Experience in aesthetic/dermatology clinics or beauty industry
- Familiarity with skincare treatments and procedures
- Knowledge of tools like Microsoft Excel or Clinic management software
- Sales or customer service background
