Job Summary
The HR & Payroll Executive is responsible for managing day-to-day human resources operations, payroll processing, employee records, HR documentation, and administrative activities. The role ensures accurate payroll management, compliance with labor regulations, effective employee support, and smooth execution of HR processes in line with company policies and procedures.
Key Responsibilities
Payroll Management
- Process monthly payroll accurately and ensure timely salary disbursement.
- Maintain payroll records including salaries, allowances, deductions, overtime, leave, and benefits.
- Verify attendance, timesheets, leave records, and employee payroll inputs.
- Calculate overtime, incentives, bonuses, deductions, and final settlements.
- Ensure compliance with payroll-related legal requirements and company policies.
- Prepare payroll reports and summaries for management review.
- Coordinate with finance teams for salary processing and reconciliation.
- Handle employee payroll queries and resolve discrepancies.
HR Operations
- Manage employee lifecycle processes including onboarding, transfers, promotions, and exits.
- Prepare employment contracts, offer letters, HR letters, and employee documentation.
- Maintain accurate and confidential employee records and HR databases.
- Coordinate employee onboarding, induction, and joining formalities.
- Support performance management processes and employee engagement activities.
- Monitor attendance, leave management, and employee records.
- Assist in implementing HR policies, procedures, and company initiatives.
- Provide HR support and guidance to employees regarding company policies and procedures.
Recruitment & Workforce Support
- Support recruitment activities including job posting, candidate coordination, interview scheduling, and onboarding.
- Maintain recruitment records and employee documentation.
- Coordinate with department heads regarding manpower requirements.
- Support workforce planning and employee deployment activities.
Compliance & Administration
- Ensure compliance with labor laws, company policies, and statutory requirements.
- Maintain HR files, personnel records, and audit documentation.
- Assist with HR audits and compliance checks.
- Prepare HR reports, employee statistics, and workforce dashboards.
- Coordinate with government authorities, insurance providers, and external agencies when required.
- Maintain confidentiality of employee and payroll information.
Required Qualifications
- Bachelor's degree in Human Resources, Business Administration, Accounting, Finance, or a related field.
- 3–7 years of experience in HR operations and payroll processing.
- Experience handling payroll for medium to large employee populations is preferred.
- Knowledge of HR practices, payroll procedures, and employment regulations.
Technical Skills
- Strong knowledge of payroll processing and HR administration.
- Experience with HRIS, payroll software, and ERP systems.
- Proficiency in Microsoft Office, especially Excel.
- Knowledge of attendance management systems and payroll reporting.
- Understanding of labor laws, statutory benefits, and compliance requirements.
- Ability to prepare HR reports, payroll summaries, and employee records.
- Familiarity with recruitment and onboarding processes.
