We are a premier healthcare clinic dedicated to providing an exceptional, discreet, and personalized service to our clients. We are seeking a Medical Receptionist who embodies professionalism and excellence to be the first point of contact and the welcoming face of our practice. This role is critical in managing our clinic’s environment, ensuring seamless operations, and delivering a five-star client experience from the initial interaction onwards.

- Native English Speaker: You must be a native English speaker. This is a fundamental requirement for the clarity, nuance, and cultural understanding needed in our client communications.
- Fluent, Confident Communication: You possess impeccable spoken and written English. You can communicate with clarity, empathy, and authority both in person and over the phone, and in all written correspondence (email, SMS, formal letters).
- Well-Presented, Polished & Professional: Your personal presentation is impeccable. You maintain a polished, professional appearance and demeanour that aligns with a luxury service environment.
- Highly Organised & Tech-Savvy: You have a proven ability to manage multiple tasks with precision. You are adept with clinic management software (e.g., Pulse, PowerSoft, Dermalytics), Microsoft Office Suite, and can quickly learn new digital systems.
- Relevant Experience: Prior experience working in a premium medical clinic, aesthetic center, dental practice, or a luxury client-facing role (e.g., high-end hospitality, concierge, premium retail) is strongly preferred.
- Based in Dubai: You must currently reside in Dubai and hold valid residency/eligibility to work.
Key Responsibilities:
- Front-of-House & Client Experience:
- Greet all clients with a warm, polished, and professional manner, creating an outstanding first and lasting impression.
- Manage the reception area to ensure it is calm, organized, and reflects the premium standards of the clinic.
- Handle all incoming calls, emails, and inquiries with discretion, efficiency, and a service-oriented attitude.
- Schedule and confirm appointments accurately, managing a complex diary for multiple practitioners.
- Administrative & Operational Excellence:
- Conduct client registration, update medical records with absolute accuracy, and manage all administrative check-in/check-out procedures.
- Process payments, issue invoices, and handle billing inquiries with tact and confidentiality.
- Coordinate with insurance companies for direct billing and pre-authorizations.
- Maintain strict confidentiality of all client records and interactions in line with data protection policies.
