Position Overview
We are looking for an experienced HR Admin Officer to manage our core human resources administration and government relations in Kuwait. The ideal candidate will be the backbone of our HR functions, ensuring all employee documentation, residency processes, and legal compliance are handled efficiently and accurately. Your expertise will support our team, allowing us to focus on delivering exceptional coffee experiences.
Key Responsibilities
- Government Relations & Documentation:
- Act as the primary point of contact for all government-related processes (Public Authority of Manpower, Ministry of Interior, etc.).
- End-to-end management of employee residency (Iqama), work permits, visas, renewals, cancellations, and transfers.
- Stay updated on and ensure strict compliance with all Kuwait labor laws and regulations.
- HR Administration:
- Prepare, review, issue, and file employment contracts, addendums, and termination documents.
- Maintain accurate and up-to-date physical and digital employee records and personal files.
- Handle employee inquiries related to HR policies and procedures.
- Coordination & Communication:
- Liaise effectively between management, employees, and government authorities.
- Coordinate with the recruitment team for onboarding documentation and with the PRO for external processes.
- Support payroll by providing accurate attendance, leave, and personnel change data.
- Compliance & Best Practices:
- Ensure all HR practices adhere to Kuwaiti labor law and company policies.
- Recommend improvements to administrative processes for greater efficiency.
Qualifications & Requirements
- Experience:
- 3–4 years of proven experience in an HR Admin Officer or similar role, preferably within the F&B, hospitality, or retail sectors in Kuwait.
- Demonstrated hands-on experience with Kuwaiti government portals and procedures (visas, residencies, labor contracts).
- Knowledge:
- Strong, up-to-date knowledge of Kuwait Labor Law and standard HR procedures.
- Proficiency in MS Office (Word, Excel, Outlook).
- Skills:
- Must be bilingual with excellent proficiency in both English and Arabic (written and spoken).
- Outstanding organizational and time-management skills with acute attention to detail.
- Excellent communication and interpersonal skills.
- Ability to handle confidential information with discretion.
