Contract Administrator (Junior)
Job Summary:
A Junior Contract Administrator provides essential support in the administration of construction contracts. This role assists in ensuring that all contractual obligations, documentation, and processes are correctly followed, helping to minimize risk and ensure compliance. It is an ideal entry-level position for someone looking to build a career in contract management, commercial management, or law within the construction sector.
Key Responsibilities:
- Contract Documentation: Assist in the preparation, logging, filing, and distribution of all contract documents, including amendments, change orders, warranties, and bonds.
- Administrative Support: Maintain organized and up-to-date contract registers, databases, and filing systems (both electronic and hard copy).
- Communication Hub: Facilitate the flow of contractual correspondence between internal teams (project managers, engineers, QSs) and external parties (clients, consultants, subcontractors).
- Meeting Support: Attend project meetings, take minutes, and track action items related to contractual matters.
- Compliance Monitoring: Help monitor contract compliance regarding insurance certificates, performance bonds, and supplier/subcontractor qualifications.
- Change Management Support: Assist in the processing of Variation Orders (VOs) and Change Requests, ensuring proper documentation and approval trails.
- Reporting: Prepare basic reports on contract status, execution, and pending actions for senior staff.
Qualifications & Skills:
- Education: Bachelor’s degree in Business Administration, Construction Management, Law, or a related field.
- Experience: 0-2 years of experience in an administrative role, preferably within construction, engineering, or a professional services firm. Internships are highly valued.
- Skills:
- Excellent organizational and detail-oriented skills.
- Strong written and verbal communication abilities.
- Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
- Basic understanding of contract principles and terminology.
- Ability to work collaboratively in a team environment.
