Job Summary
The Maintenance Supervisor is responsible for supervising and coordinating maintenance activities to ensure the safe, reliable, and efficient operation of building systems, equipment, and facilities. The role involves managing maintenance teams, planning preventive and corrective maintenance activities, monitoring service quality, troubleshooting technical issues, and ensuring compliance with health, safety, environmental, and operational standards.
Key Responsibilities
Maintenance Operations
- Supervise daily maintenance activities, including preventive, corrective, and reactive maintenance works.
- Allocate tasks to technicians and monitor work progress to ensure timely completion.
- Ensure the proper operation and maintenance of mechanical, electrical, plumbing (MEP), HVAC, and building systems.
- Conduct regular inspections to identify equipment faults, defects, and maintenance requirements.
- Diagnose technical issues and coordinate effective repair solutions.
- Ensure all maintenance activities are completed according to manufacturer recommendations, procedures, and service standards.
- Maintain equipment reliability and minimize downtime through effective maintenance planning.
Team Supervision
- Lead, supervise, and support maintenance technicians and service personnel.
- Prepare work schedules, duty rosters, and task assignments.
- Monitor staff performance, attendance, and productivity.
- Provide technical guidance, coaching, and on-the-job training.
- Ensure technicians follow safe working practices and maintenance procedures.
- Promote teamwork, accountability, and continuous improvement.
Preventive Maintenance and Asset Management
- Implement and monitor Planned Preventive Maintenance (PPM) programs.
- Maintain accurate records of maintenance activities, equipment history, and service reports.
- Monitor spare parts, tools, and consumable requirements.
- Coordinate equipment testing, inspections, and statutory maintenance activities.
- Support asset management and lifecycle improvement initiatives.
Health, Safety, and Compliance
- Ensure compliance with health, safety, and environmental (HSE) requirements.
- Conduct toolbox talks, safety briefings, and work permit checks.
- Ensure proper use of Personal Protective Equipment (PPE).
- Identify workplace hazards and implement corrective actions.
- Report incidents, near misses, and unsafe conditions.
- Support internal and external safety inspections and audits.
Contractor and Client Coordination
- Coordinate with external contractors and specialist service providers.
- Monitor contractor performance and ensure work is completed according to requirements.
- Liaise with clients, occupants, and management regarding maintenance requests.
- Respond to breakdowns and service complaints in a timely manner.
- Provide updates on maintenance progress and outstanding issues.
Reporting and Administration
- Prepare daily, weekly, and monthly maintenance reports.
- Monitor maintenance KPIs, SLAs, and service performance.
- Maintain accurate records of work orders, inspections, repairs, and materials used.
- Support maintenance planning, budgeting, and resource allocation.
- Provide recommendations for system improvements and cost optimization.
Qualifications
- Diploma or Bachelor's degree in Mechanical Engineering, Electrical Engineering, Facilities Management, or a related technical field.
- Relevant technical certification in HVAC, electrical, mechanical, or building maintenance is an advantage.
Experience
- Minimum of 3–5 years of experience in building maintenance, facilities management, or engineering operations.
- Previous experience supervising maintenance teams is preferred.
- Experience with commercial buildings, residential properties, hospitals, hotels, industrial facilities, or mixed-use developments is an advantage.

- Exposure to mechanical, electrical, and building systems; appropriate PPE must be used where required.
