Job Description – Document Controller (Construction / Engineering)
A Document Controller is responsible for managing, organizing, distributing, and maintaining project documents to ensure accurate record keeping, controlled document flow, and compliance with company and project requirements.
Key Responsibilities
- Manage and control all incoming and outgoing project documents.
- Maintain document registers, logs, and tracking systems.
- Receive, review, classify, and distribute drawings, reports, contracts, and technical documents.
- Ensure proper document numbering, filing, and revision control.
- Upload and maintain documents in electronic document management systems (EDMS).
- Monitor document approvals, submissions, and response status.
- Coordinate with project teams, consultants, clients, and subcontractors regarding document submissions.
- Ensure the latest approved drawings and documents are available to project teams.
- Maintain confidentiality and security of project information.
- Prepare document transmittals and submission records.
- Archive completed project documents and maintain historical records.
- Assist in preparing reports related to document status and progress.
- Support audits by providing required documentation and records.
- Ensure compliance with company document control procedures.
Qualifications
- Diploma or Bachelor's degree in Business Administration, Engineering, Information Management, or a related field.
- Experience as a Document Controller in construction, engineering, or project environments.
- Knowledge of document control procedures and project documentation.
- Experience with EDMS platforms such as Aconex, SharePoint, Procore, Asite, or similar systems is preferred.
- Knowledge of construction drawings, technical documents, and project workflows is an advantage.
