Recruitment Officer
Job Summary
We are seeking a proactive and organized Recruitment Officer to manage the end-to-end recruitment process, from identifying staffing requirements and sourcing candidates to conducting interviews, coordinating selections, and supporting onboarding. The role will focus on attracting qualified candidates, maintaining an effective recruitment pipeline, and ensuring vacancies are filled within the required timelines.
Key Responsibilities
Recruitment & Talent Acquisition
- Manage the recruitment process from job requisition to candidate onboarding.
- Coordinate with department heads to understand manpower requirements and job specifications.
- Prepare and post job advertisements through appropriate recruitment channels.
- Source candidates through job portals, social media, recruitment agencies, referrals, databases, and other channels.
- Screen CVs and applications based on job requirements.
- Conduct initial interviews and candidate assessments.
- Shortlist suitable candidates and coordinate interviews with hiring managers.
- Maintain an active database of qualified candidates for current and future vacancies.
- Conduct reference and background checks where required.
- Coordinate salary discussions, offer preparation, and candidate joining formalities.
- Follow up with selected candidates to ensure timely joining.
Recruitment Administration
- Maintain accurate and updated recruitment records and candidate databases.
- Prepare recruitment reports, hiring trackers, and vacancy status reports.
- Track recruitment costs, sources, and hiring timelines.
- Ensure all recruitment documentation is complete and properly maintained.
- Coordinate with HR/Admin teams for employee onboarding and documentation.
- Maintain confidentiality of candidate and company information.
Workforce Planning & Coordination
- Support manpower planning and recruitment forecasts.
- Monitor open positions and recruitment progress.
- Advise hiring managers on candidate availability and recruitment challenges.
- Coordinate with external recruitment agencies and manpower suppliers when required.
- Build and maintain relationships with recruitment consultants, educational institutions, and other talent sources.
- Participate in career fairs, recruitment drives, and industry events.
Employee Onboarding
- Coordinate pre-employment documentation and joining formalities.
- Ensure selected candidates receive required information regarding company policies, compensation, benefits, and joining requirements.
- Coordinate with HR and relevant departments to ensure a smooth onboarding process.
- Maintain recruitment-to-joining records and follow up on probation status when required.
Candidate Profile
- Bachelor's degree in Human Resources, Business Administration, Management, or a related field.
- 2–5 years of experience in recruitment or talent acquisition.
- Experience in high-volume recruitment is an advantage.
- Experience recruiting for technical, sales, administrative, or operational positions is preferred.
- Strong knowledge of sourcing and candidate screening techniques.
- Excellent communication, interviewing, negotiation, and interpersonal skills.
- Good knowledge of job portals, recruitment platforms, and social media sourcing.
- Proficiency in MS Office, particularly Excel and Word.
- Experience with HRIS/ATS or recruitment software is an advantage.
- Strong organizational skills and ability to manage multiple vacancies simultaneously.
- Ability to work under pressure and meet recruitment deadlines.
