Administrative Executive — Job Description
Job Summary
The Administrative Executive is responsible for managing day-to-day administrative activities, coordinating office operations, maintaining records, supporting employees and management, and ensuring the smooth and efficient functioning of the organization.
Key Responsibilities
- Manage daily administrative and office operations.
- Handle incoming and outgoing correspondence, emails, calls, and documentation.
- Maintain accurate and organized physical and electronic records.
- Prepare reports, letters, presentations, and other administrative documents.
- Coordinate meetings, appointments, travel arrangements, and office schedules.
- Manage office supplies, stationery, equipment, and related inventories.
- Coordinate with vendors, service providers, and external agencies.
- Process purchase requests, invoices, bills, and administrative expenses.
- Support HR and other departments with administrative activities.
- Maintain employee and office-related documentation as required.
- Monitor office facilities, maintenance, housekeeping, and security requirements.
- Assist management with reports, data collection, and administrative tasks.
- Ensure compliance with company policies and administrative procedures.
- Handle confidential information professionally and securely.
- Support events, meetings, employee activities, and other organizational requirements.
- Identify administrative issues and coordinate timely solutions.
Requirements
- Bachelor’s degree or diploma in Business Administration, Management, Commerce, or a related field.
- 2–5 years of experience in administration, office management, or a similar role.
- Proficiency in MS Office, especially Word, Excel, and PowerPoint.
- Good written and verbal communication skills.
- Strong organizational and time-management abilities.
- Ability to handle multiple tasks and meet deadlines.
- Good coordination and interpersonal skills.
- Strong attention to detail and problem-solving ability.
- Ability to maintain confidentiality and work professionally with employees, management, and external parties.
