Project Coordinator
We are seeking a highly organized, proactive, and detail-oriented Project Coordinator to support the successful planning, coordination, and execution of projects. The successful candidate will work closely with project managers, engineers, contractors, suppliers, clients, and internal departments to ensure smooth communication, timely completion of activities, accurate documentation, and effective project administration.
Key Responsibilities
- Support the Project Manager in coordinating day-to-day project activities and deliverables.
- Coordinate communication between project teams, clients, consultants, contractors, suppliers, and internal departments.
- Maintain project schedules, action trackers, task lists, and key milestone records.
- Follow up with responsible team members to ensure activities and deliverables are completed on time.
- Prepare and distribute project meeting agendas, minutes of meetings, and action-item trackers.
- Monitor project progress and provide regular updates to the Project Manager.
- Maintain accurate and organized project documentation, correspondence, drawings, reports, and records.
- Coordinate the submission, review, approval, and distribution of project documents.
- Assist with preparing weekly, monthly, and other project progress reports.
- Track procurement activities, material requirements, deliveries, and supplier commitments where applicable.
- Coordinate meetings, site visits, inspections, presentations, and other project-related activities.
- Follow up on RFIs, technical queries, submittals, approvals, inspection requests, and other project deliverables.
- Assist in monitoring project schedules, costs, resources, and potential delays.
- Maintain project trackers for risks, issues, variations, changes, and pending actions.
- Coordinate with the Planning/Project Controls team to collect and update progress information.
- Support the preparation and submission of client reports and project correspondence.
- Assist with project closeout activities, including documentation, outstanding-item tracking, and handover requirements.
- Ensure project information is communicated promptly and accurately to relevant stakeholders.
- Identify coordination issues and escalate potential delays or risks to the Project Manager.
- Ensure project activities and documentation follow company procedures and contractual requirements.
Qualifications & Skills
- Bachelor’s degree or diploma in Engineering, Project Management, Business Administration, Construction Management, or a related field.
- Previous experience in project coordination, project administration, engineering, construction, or a related environment is preferred.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Strong follow-up and coordination abilities.
- Proficiency in Microsoft Office, particularly Excel, Word, and PowerPoint.
- Familiarity with project management, document-control, or collaboration software is an advantage.
- Ability to maintain accurate records and manage multiple tasks simultaneously.
- Strong attention to detail and problem-solving skills.
- Ability to work effectively with multidisciplinary teams and external stakeholders.
- Ability to work under pressure and meet deadlines.
Preferred Experience
- Experience in construction, EPC, infrastructure, engineering, industrial, MEP, or other project-based environments.
- Familiarity with project schedules, Primavera P6, MS Project, or other planning tools.
- Experience with document-control systems and project management platforms.
- Experience coordinating contractors, suppliers, consultants, and clients.
- Knowledge of project reporting, procurement coordination, and project documentation.
