Job Description – CAFM Specialist (Facilities Management)
A CAFM (Computer-Aided Facility Management) Specialist is responsible for managing facility management software systems, maintaining asset data, coordinating maintenance activities, and ensuring accurate reporting and workflow management through CAFM platforms.
Key Responsibilities
- Manage and maintain CAFM system operations for facility management activities.
- Create, update, and maintain asset registers, equipment records, and facility databases.
- Monitor work orders, preventive maintenance schedules, and service requests.
- Ensure accurate data entry and timely updates within the CAFM system.
- Generate maintenance reports, performance reports, and KPI dashboards.
- Coordinate with FM teams, engineers, technicians, and supervisors to track work progress.
- Monitor planned preventive maintenance (PPM) schedules and completion status.
- Support facility audits by providing CAFM records and reports.
- Analyze maintenance data and identify trends for improvement.
- Assist in CAFM system configuration, workflow updates, and user support.
- Ensure compliance with client requirements and FM procedures.
- Maintain documentation related to assets, maintenance activities, and service history.
- Support system integration with other facility management tools when required.
Qualifications
- Bachelor's degree in Engineering, Facility Management, Information Technology, or a related field.
- Minimum 6+ years of experience in Facilities Management (FM) with CAFM systems.
- Experience working with CAFM software such as Maximo, Planon, Archibus, Concept Evolution, FSI Concept, or similar platforms is preferred.
- Experience in Qatar/GCC FM projects is an advantage.
- Good understanding of FM operations, maintenance processes, and asset management.
Required Skills
- Strong knowledge of CAFM systems and facility maintenance workflows.
- Excellent data management and reporting skills.
- Ability to analyze maintenance data and generate reports.
- Good understanding of PPM and corrective maintenance processes.
- Proficiency in Microsoft Office, especially Excel.
- Strong attention to detail and accuracy.
- Good communication and coordination skills.
- Ability to support multiple users and manage system-related issues.

The main objective of a CAFM Specialist is to ensure efficient use of the CAFM system by maintaining accurate facility data, improving maintenance workflows, monitoring performance, and supporting effective facility management operations.
